• Document content, which may include personal data contained in the files you upload for translation.
• Order and billing information needed to process payment and issue invoices.
• Technical data such as log information necessary to operate and secure our website and client panel.

3. Why We Process It

We process personal data to prepare quotes, perform and certify translations, arrange notarization and apostille, deliver completed work, handle payment and invoicing, respond to your enquiries, and meet our legal obligations. Document content is processed solely for the purpose of producing your translation and is not used for any unrelated purpose.

4. Legal Basis

Our processing rests on the performance of the contract between us, your consent where applicable, our legitimate interest in operating and securing our service, and compliance with legal obligations such as record-keeping and tax requirements.

5. How We Protect Your Data

Documents are transmitted over encrypted connections and stored with controlled, need-to-know access. Only the translators, reviewers and staff working on your order can access your files. Our sworn translators are bound to confidentiality, and an NDA is available before you upload anything.

6. Sharing and Third Parties

We do not sell your data. We share it only as necessary to deliver your order — for example, with a notary or apostille authority when you request those services, or with a courier to deliver certified originals — and with service providers who process data on our behalf under appropriate confidentiality and security obligations.

7. Retention

We retain personal data and documents only for as long as necessary to provide the service, to allow for corrections and re-issue, and to meet legal and accounting obligations, after which they are deleted or anonymized. You may request deletion earlier, subject to any obligation we have to retain certain records.

8. Your Rights

Under KVKK and GDPR you have the right to be informed about, access, correct, delete and restrict the processing of your personal data, and to object to certain processing. To exercise any of these rights, contact us and we will respond within the periods required by law.

Files travel over encrypted connections, are stored with need-to-know access, and are visible only to the translators, reviewers and staff assigned to your order. Because confidentiality is a professional obligation of every sworn translator we work with, discretion is built into the people handling your documents as much as into the systems that carry them.

You Remain in Control

Your personal data is yours. You can ask what we hold, request a correction, or ask for deletion once any legal obligation to retain records has passed — and we will act on such requests within the periods the law requires. We collect only what a translation genuinely needs, keep it only as long as necessary, and never repurpose your document content for anything beyond producing your translation.
